Coordinating the food drive for our block went sideways at hour two

Last Saturday I signed up to run the donation table for our neighborhood food drive at the park on Maple, and by 10am I had 14 volunteers but only 6 clipboards and no idea who was supposed to cover the east entrance. Two people left early since nobody gave them a job, and a guy with a van full of cans sat waiting for 20 minutes because our drop-off spot got moved and nobody passed the word. How do other folks keep track of assignments when a group is bigger than you planned for?
